Sharing Office 365 files in MS Teams
In MS Teams you can create, share and collaborate in the editing of Word, Excel, OneNote, and PowerPoint files. You can access these tools to create and edit files right in Teams. Each Team and Channel has a file folder in which you can place files, you can also create a link to a file as a tab, as follows:

Creating, Sharing, and Accessing Files
Creating a File
In the Files of a Team or channel you can create Word, Excel, PowerPoint, and OneNote files directly in Teams. You can also create and store files in your personal OneDrive folder through Teams.
Creating a File in a Channel
- In MS Teams, go to the Team and Channel where you want to create the file.
- At the top of the Team page, click Files.
- In the menu that appears, click + New.
- In the drop-down menu that appears, click the file type you want to create.
- The new file will be created and open in the application of its type where you can edit its contents. For example, if you create a Word file, it will open in Word right in MS Teams. When finished editing it, save your changes. Now all members of the channel can access and edit that file.
Creating a File in OneDrive
- In the left navigation menu of MS Teams, click the Files icon.
- In the left panel of the page that opens, click OneDrive.
- At the top of the page below OneDrive click + New.
- In the drop-down menu that appears, click the type of file you would like to create.
- The new file will open in its application in Teams. Once you save changes, the file will save to your personal OneDrive, but you can share a link to it with others in MS Teams.
Sharing a File
There are several ways to share files within Microsoft Teams. Members of the team can access shared files through the Files tab at the top of each channel and chat. Files can be shared directly to channels and chats through the Files tab or attached to messages sent in a conversation.
Sharing a File to a Channel
- Navigate to your course in Teams and go to the channel you would like to share the file to.
- At the top of the screen click Files.
- In the menu that appears, click Upload.
- In the drop-down menu that appears, click Files. (You can also click Folder to upload a complete folder).
- In the window that pops up, locate your file and click Open. The file will begin to upload to the Files section of the channel.
Sharing a File to a Chat
- In your Team, go to the chat you would like to share the file to.
- At top of the screen click Files.
- Below Files, click Share.
- In the popup that appears, click the source of the file: OneDrive or Upload from my computer.
- In the window that pops up, locate your file and select Open or Share. The file will upload to the Files section of the chat and all members of the chat will be notified.

- While in a chat conversation, below the compose box, click Attach.
- In the menu that appears, find the file you want either in OneDrive or by Upload from my computer.
- In the window that opens, locate your file and click Share or Open. The file will begin to upload to the the message.
- Once the file has loaded, at the bottom right of the screen, click the Send icon (paper airplane).
Accessing a File
Files that you share in a channel can be accessed by all Team members in the Files tab at the top of each channel. Files shared in a private group chat are stored in your OneDrive folder and can be accessed by the members of that chat in the Files tab at the top of a chat. You can also access Files through the Files icon in the left column navigation menu.
Office 365 Word, Excel, and PowerPoint
Word, Excel, and PowerPoint are accessible through their respective desktop applications, Portal.office.com, and Teams.Word
Microsoft Word is a word processing and document creation program. Word enables users to format, manipulate, and share a text based document. Some features include spelling and grammar check, text formatting, referencing tools, and customizable templates.
- Document name
- Ribbon tabs - The current tab is underlined in purple. The ribbon consists of a set of toolbars that provide quick access to commands used to accomplish tasks within the document.
- Open in desktop app
- Search - Allows you to search for text within the document.
- Mode - Options include editing and reviewing mode. Editing mode allows you make changes to the document, while reviewing mode allows you to add comments and suggest changes.
- Comments - Allows you to leave contextual feedback on the document.
- Conversation - Enables you to engage in conversation while editing the document.
- More Options - Allows you to either download the document or open it in a browser.
- Close
- Commands - Distinct to the selected ribbon tab. Provides an array of tools that allow you to customize the document.
- Page

- Zoom Level - Select the plus and minus icons to adjust the zoom level of the document.
Excel
Microsoft Excel is a spreadsheet program used to store, organize, and manipulate data. Excel enables users to perform calculations, create graphs, and automate tasks through the creation of macros.
- Workbook name
- Ribbon tabs - The current tab is underlined in green. The ribbon consists of a set of toolbars that provide quick access to commands used to accomplish tasks within the workbook.
- Open in desktop app
- Tell me what you want to do - Type in what you want to do and excel will suggest commands you should use to accomplish your task.
- Mode - Options include editing and viewing mode. Editing mode allows you make changes to the spreadsheet, while viewing mode only allows you to view the spreadsheet.
- Comments - Allows you to leave contextual feedback on the spreadsheet.
- Conversation - Enables you to engage in conversation while editing the document.
- More options - Allows you to either download the workbook or open it in a browser.
- Close
- Commands - Distinct to the selected ribbon tab. Provides an array of tools that allow you to customize the spreadsheet.
- Name box - Displays the address of the active cell on the sheet.
- Insert function - Provides a list of functions that you can select to apply to a cell.
- Formula bar - Displays data or formulas entered into the active cell.

PowerPoint
Microsoft PowerPoint is a presentation program used to create slideshows to convey information during a presentation. In addition to text, PowerPoint presentations can contain rich media like videos, images, and audio. Additional features include built-in transitions, drawing tools, and customizable templates.
- PowerPoint name
- Ribbon tabs - The current tab is underlined in orange. The ribbon consists of a set of toolbars that provide quick access to commands used to accomplish tasks.
- Open in desktop app
- Search -Allows you to search for text within the PowerPoint.
- Comments - Allows you to leave contextual feedback on the PowerPoint.
- Present Mode - Enables you to enter present mode.
- Conversation - Enables you to engage in conversation while editing the document.
- More options - Allows you to either download the PowerPoint or open it in a browser.
- Close
- Commands - Distinct to the selected ribbon tab. Provides an array of tools that allow you to customize the PowerPoint.
- Slides pane - Allows you to see all of the presentation slides. You can click through the presentation by selecting individual slides in the slides plane.
- Presentation slide pane - Displays the current presentation slide. Allows you to customize and edit the slide.

- Notes - Allows you to add speakers notes to the presentation. The audience will not be able to see the notes when the presentation is in present mode.
- View - Options include editing view, slide sorter, and slideshow.
- Zoom level - Allows you to adjust the zoom level of the PowerPoint.
Turning a File into a Tab
Files can be turned into tabs in a chat or channel. This allows members of the chat or channel to access frequently used files quickly.
- Navigate to the channel or chat that contains the file that you would like to convert to a tab.
- At the top of the page, select the + icon
- Select the application of the desired file.
- Provide a name for the tab.
- Select the desired file.
- Check or uncheck the box next to Post to the chat about this tab.
- Select the Save button. The tab will take a few moments to generate.
- To access the newly created file tab, select the drop down arrow next to more.
- Select the desired file from the drop down menu. The page will reload to display the file.
Note: A file tab can be delete or renamed.
- From within a channel or chat, click more.
- In the drop-down menu that appears, click the file. The file will display in the page.
- Select the drop down arrow next to the file tab name.
- From the drop down menu, there are options to rename or remove the file or manage the file settings.
