Zoom: Live Captioning
Zoom supports captioning during a live session. If the session is recorded, the instructor can download the recording and caption file for uploading elsewhere. This document assumes you have a UBC Zoom account, have added Zoom to your Canvas course menu, and have scheduled a Zoom meeting.

Enabling Captions in zoom.us Settings
- Log into zoom.us Links to an external site. (you can sign in at https://zoom.us/signin Links to an external site.)
- On the left side of the page that opens, click Settings.
- Scroll down to In Meeting (Advanced) to find the captions section. To the right of Closed Captioning, click to move the toggle right (turn it from grey to blue).
- Beside Save Captions, click to move the toggle right.
Assigning Captioning to a Participant
- In your Canvas course menu, click Zoom.
(If Zoom is not there, add it to your course menu in Settings > Navigation - see Zoom: Getting Started) - In the Zoom page, click the Upcoming Meeting.
- To the right of the meeting of your choice, click Join.
(If there are no meetings, click the blue Schedule a New Meeting button at top right and create a meeting.) - When you are in the Zoom meeting, at the bottom of the Zoom window, click More.
- In the menu that expands at bottom, click CC Closed Captions.
- In the popup that appears, verify that it displays: "Assign a participant to type"
- In the bottom menu click Participants.
- In the Participants panel that appears at right, move your mouse pointer over the participant you want to caption, and click More.
- In the drop-down menu that appears, click Assign to type Closed Caption.
The participant will get a prompt to begin captioning.
The participant captioner sees this prompt to caption.
The participant clicks the Closed Caption button, and a popup opens in which the captioner can begin typing what the presenter says.
- At this time begin recording. In the bottom menu, click Record.
- In the popup that appears, choose
- If you want to record directly to your computer, click Record on this Computer.
- If you want to record to the Zoom cloud and get an email with the recordings later, click Record to the Cloud.*
- When the meeting is finished, click End.

Enabling Auto Captioning at Zoom.us
The Zoom Live Transcription feature enables captions to be automatically generated in real-time during a live meeting. The live transcription feature currently only supports English. The accuracy of the live transcription feature depends on several factors, such as the following:- Background noise
- Volume and clarity of the speaker’s voice
- The speaker's proficiency with the English language
- Lexicons and dialects specific to a geography or community
Please note that the live transcription feature is not 100% accurate. If you will require live captions to support students with accommodations, it is recommended that you utilize the manual captioning feature in Zoom to guarantee a specific level of accuracy. Please see the tab called "Assigning Captioning to a Participant" for instructions on how to assign a manual captioner.
- Log into zoom.us Links to an external site. (you can sign in at https://zoom.us/signin Links to an external site.)
- Click Settings in the menu on the left of the page.
- Click the Meeting tab.
- Scroll down to In Meeting (Advanced) to find the captions section. To the right of Closed Captioning, click to move the toggle right (turn it from grey to blue).
- Click the checkbox to the left of Enable live transcription service to show transcript on the side panel in-meeting.
- Click Save.
- If you would like participants to have the ability to save closed captions and transcripts, enable the toggle to the right of Save Captions.
Enabling Auto Captioning in a Live Session
- During your Zoom meeting, click Live Transcript on the bottom control bar.
- From the menu that pops up, click Enable Auto-Transcription.
- The live auto captions will now appear at the bottom of the Zoom window.
- For access to Live Transcript options, click the upwards pointing chevron to the right of the closed caption icon.
- To hide subtitles, click Hide Subtitle.
- To view the meeting transcript, click View Full Transcript. A side panel will display on the right side of the zoom window to display the full transcript.
- Click Subtitle Settings to view modifiable closed caption settings (eg. The closed caption font size).
Downloading Captions and Recording
If you chose to Record on this Computer, once the meeting ends, the files are saved to your computer hard drive.
In Windows, find the folder at C:\Users\[Username]\Documents\Zoom
On an Apple find the files in /Users/[Username]/Documents/Zoom
If you chose Record to the Cloud, within 24 hours you will receive an email with a weblink to the recording download page in zoom.us, and a weblink and passcode to watch the recording directly.
Click the first weblink in the email.
The zoom.us recording download page opens with links to download the video, the captions, chat and other files.
Click the down arrow to the right of "shared screen with speaker view (CC)". A popup will offer a download of the video in MP4, and the closed caption VTT file and transcript.
Zoom records captions in a VTT format. If you want to upload the video and captions to Kaltura My Media, you can convert the VTT file to SRT format with a free online software at: https://subtitletools.com/convert-to-srt-online Links to an external site..
