Sharing Content with Zoom
During a Zoom meeting, you can share the following content on your screen with participants:
- Basic Screen Sharing:
- Entire computer or phone screen
- A whiteboard tool
- Your iPhone or iPad screen
- A certain application that is open on your device
- Advanced Screen Sharing:
- PowerPoint as a virtual background
- A specific section of your device’s screen
- Your device’s audio
- Content from a second camera
- File Sharing
The host of a meeting can share these functions with the meeting participants. The host can also disable or enable the meeting participants' ability to share their screen. In a large webinar, only hosts, co-hosts and panelists can share their screen with others.
Basic Screen Sharing
- During your meeting, scan your mouse to the bottom control bar and select Share Screen in green.

- A new page will appear with various options to share your screen. The first options are under Basic (2) at the top, as shown below.
Note that the option highlighted in blue is the option that is selected to share with participants. In this example, the Screen (A) is about to be shared.

- Your entire desktop screen. A green bar around your entire screen will appear when you share your desktop screen. This green bar indicates which sections of your screen you are sharing. When you share your entire desktop screen, the participants will see everything on the screen – every application, every notification that pops up, and your operating system toolbar, as shown here:

The Whiteboard function. A white window will pop up. You can add annotations to the Whiteboard using the annotation toolbar.

- Your iPhone/iPad screen. You will need to install a plug-in to Zoom and connect to the same Wifi network as your computer in order to share your screen from another device.
- Various applications you have open. The green box indicates that only the one application is being shared. If you switch over to another application, your participants will still see the original application shared, not necessarily the application that you are active in.

There are two other options at the bottom of the share window. One is (A)
Share Computer Sound, meaning if you select this option, any sound made from your computer will be shared with participants in the meeting. If you are sharing a video with your participants, this checkbox must be selected in order for the participants to hear the video soundtrack. The second is (B)
Optimize Screen Sharing for Video Clip; select this option if you are planning to share a video in full screen mode. You also have the option to select both of these options. Once you have decided on a screen-sharing option, click
Share.
Advanced Screen Sharing
- During your meeting, scan your mouse to the bottom control bar and select Share Screen in green.

- A new page will appear with various options to share your screen. The first options are under Basic (2) at the top, as shown on the previous tab.
- The options under Advanced (3) are shown below:

- PowerPoint as a virtual background. A plug-in is required. This will display your video image in front of a PowerPoint presentation.
- A selected portion of your screen: only the portion with the green border surrounding it will be shared. You can customize the screen portion by dragging or resizing the green border. This option varies from sharing an application (as outlined on the previous tab) in that whatever you drag into the green border will be shared with your participants - you can drag various applications into the box to share with your participants. When you resize the border, your screen sharing will be paused and the green border will turn orange.
- Sharing your music or computer sound only with participants.
- Sharing content from a second camera that is connected to your computer or device. If you selected Content from 2nd Camera, click Switch Camera in the top-left corner to switch the shared camera.
File Sharing
- During your meeting, scan your mouse to the bottom control bar and select Share Screen in green.

- A new page will appear with various options to share your screen. The first options are under Basic (2) at the top, as shown previously.
- The second options under Advanced (3) were also shown previously.
- The third option Files (4) is where you can share a file from a third-party sharing service such as Google Drive, Microsoft OneDrive, or Microsoft SharePoint (A). Follow the on-screen prompts to sign in to the third-party service and grant Zoom access if selected.
